Board Position Job Descriptions:
President:
The President is the Chief Executive Officer of the Club. The President shall perform all duties that may be required by the By-laws of the Club and conform to the rules and regulations of the SHSHL and USAHA as well as those of other leagues in which the Club may be participating. The President serves as the SHSHL Club representative Director and must attend SHSHL Board meetings and comply with SHSHL By-laws and Operating Rules. The President chairs the Board meetings and has the authority to appoint individuals and/or committees as may be deemed necessary for the effective operation of the Club. These individuals serve for as long as required by the President. These activities may include but are not limited to fund-raising, annual awards banquet, publicity, recruiting...etc. President is responsible for working with Athletic Director from Council Rock South and is responsible for approval and certification process for the Flyers Cup and State Championships.
Vice President:
The Vice-President will perform all duties and exercise all powers of the President when the President is absent or otherwise unable to act, and will perform any other duties that may be required by the By-laws or any other regulations. The Vice-President serves as the SHSHL Club representative Alternate Director and must attend SHSHL Board meetings when the President is unable to attend, and comply with SHSHL By-laws and Operating Rules. The Vice-President is responsible for ensuring that all coaches are properly USA Hockey certified and maintaining current copies of coaching cards. The Vice-President serves as the Chair of the Coaches Committee and organizes/conducts periodic coaches meetings to facilitate the communication of club strategies and philosophies. The Vice-President will also participate in Board meetings and will vote on Club issues as needed. Works with printing vendor and collects all necessary information for managing the printing of the annual year book.
Treasurer:
The Treasurer will have custody and responsibility of all funds received and expenditures, keep and maintain all financial records, prepare and present all financial status reports and make available the financial records for required audits. The Treasurer will also prepare a projected budget and recommend a payment schedule for each new season for Board approval. The Treasurer will contract and coordinate (with Board approval) with a third party for the preparation of annual federal and state tax returns. The Treasurer will also participate in Board meetings and vote on Club issues as needed. Treasurer will also be responsible for contact with all outside vendors and contracting with the rink for ice slots. In addition, will organize and coordinate uniform and team merchandise ordering. Also is responsible for inventory and storage of any merchandise.
Secretary:
The Secretary will be responsible for recording and maintaining the minutes of all business/board meetings, maintain a current list of elected officials, appointed positions, club members and membership on standing committees. Additionally, this position will be responsible for the annual registration activities, and will maintain all registration materials. The Secretary will also participate in Board meetings and will vote on Club issues as needed. In addition, maintains volunteers for scorekeepers and clock. Schedules meetings as needed throughout the year.
General Manager:
The General Manager will be responsible for coordinating internal and external communications for the organization, including printed recruiting, advertising and registration material, the club website, facebook page and other communications as needed. Additionally, this position will serve as the liaison between the Board and the Team Managers as needed to facilitate communication, team pictures and needs as they arise. The General Manager will also participate in Board meetings and will vote on Club issues as needed. In addition, the General Manager is responsible for coordination and preparation of the registration process, ensuring proper documentation is completed and registration documentation is in order. In addition to ensure proper and timely collection of needed paperwork from players and parents. Ensure website is updated with game information and in the absence of Team managers update Teamsnap as needed. Organize with rink and alumni players to ensure a successful annual event. This includes communication and marketing to alumni players as well as organization of all food/drinks and set up of event.
In terms of all positions -
We typically meet as a board at least 4 times a year for meetings (quarterly). Additional meetings maybe required like planning meetings for Rock Cup and others as issues arise. Overall we work together on ensuring coverage at the following events. Aside from the job description the entire board works together as one cohesive team and ensures that all programs are successfully executed. There are a number of responsibilities such as completing the SHSHL matrices, completing rosters, developing registration site, entering score sheets for each home game, planning events as well as many other.
Registration (all nights) - we try to cover at least 2 - 3 each (we need at least 3-4 to help with registration)
